How to write an effective RFQ

A Request for Quotation (RFQ) is the document buyers send to suppliers to invite a price and terms for a clearly defined product. A strong RFQ removes ambiguity: the more precise your specifications, quantity, packaging, and delivery requirements, the more accurate and comparable the quotes you receive. Use this free RFQ template to capture everything a manufacturer needs to quote correctly the first time.

Start with your buyer information so suppliers know who they are dealing with and how to respond. Then describe the product in detail — name, full specifications, materials, dimensions, tolerances, and any drawings or references. Vague descriptions invite vague quotes; specific ones force suppliers to commit to what they can actually deliver. State your target quantity clearly, ideally including MOQ, a trial order quantity, and an estimated annual volume so suppliers can offer tiered pricing.

The commercial terms section is where comparability is won or lost. Specify the destination port and your preferred Incoterms (such as FOB, CIF, or DDP) so every supplier quotes on the same basis, state your required delivery date, your payment terms preference, and whether a sample is required. When all suppliers respond against the same terms, you can compare offers line by line instead of untangling inconsistent assumptions.
